Brightpearl, now branded Brightpearl by Sage and part of Sage Group plc, is a retail operating system for retailers and wholesalers. It covers order management, inventory, warehouse management, accounting and returns. Its Shopify connector creates orders and payments in Brightpearl and sends stock levels, prices and tracking back to Shopify. Brightpearl bills its own charges outside your Shopify invoice. Brightpearl takes over everything after the order is placed. Most of the risk sits in the decisions made before that switch.
Choosing the master record. Brightpearl sends stock for selected warehouses and manages prices, while Shopify passes down only skeleton product records. Agree where titles, SKUs, costs and prices are edited once Brightpearl goes live.
Warehouse-to-location mapping. Multi-location mapping decides which Brightpearl warehouses feed each Shopify location. A wrong map sells stock that can't ship.
Several Shopify stores. One Brightpearl account can run inventory, prices, orders and shipments across multiple stores, each priced in its own currency.
Retail counters. Shopify POS orders are fulfilled automatically and their POS fulfillment status is respected, so store stock needs its own location logic. POS setup specialists know the Shopify side.
Returns into credits. A Shopify return creates a sales credit and refund in Brightpearl, with optional automatic restock. Decide which returns go back on sale.
Closing the books. Brightpearl has its own accounting and separate Xero, QuickBooks and Sage connections. Map payments, refunds and tax to your chart of accounts before the first month-end.
Leave the core to Brightpearl. Its pricing includes expert-led implementation, team training and 24/7 support with a dedicated Customer Success Manager. Outside help covers your decisions and the systems around Brightpearl.
An outside specialist from the ERP and backend integration side usually works next to Brightpearl's implementation team, owning your side of the decisions and any integrations the standard connectors don't cover.
Ask which fields live where. A good answer goes field by field: title, description, SKU, price, cost, stock, customer. Vague talk about "syncing everything" is a warning.
Ask how they would test stock. Expect a sample of SKUs, including bundles, checked between Brightpearl warehouses and Shopify locations after each sync.
Ask about money. Payments land in Brightpearl as they are captured in Shopify, and refunds become sales credits. They should explain how both reach your ledger and who reconciles them.
Ask about your other channels. Amazon and eBay are listed integrations. Check experience with the ones you sell on.
Hesitate over plans to keep editing prices in Shopify after go-live, or a quote that treats Brightpearl as an app install rather than an operations project. Read the Shopify ERP integration guide before the kickoff call.
Pay for a trace first. A field ownership matrix plus ten test orders (DTC, POS, a return, a second-currency store) followed from Shopify into Brightpearl and the ledger.
Quoted per business. As of October 2026 Brightpearl publishes no prices. It builds a bespoke setup for each customer, includes unlimited users at no extra cost, scopes the project at its own expense before you sign, and sends a Technical Solution Proposal with a cost breakdown.
What flows into Brightpearl. Orders arrive with new or matched customers and reserve inventory automatically. Payments follow as Shopify captures them. Order edits, gift messages, order notes and company names on contacts come across too, and a single missed order can be imported on its own.
What flows back to Shopify. On-hand stock from the warehouses you select, prices in each store's currency, and shipping method plus tracking for every shipment, with the customer notified each time.
Products start thin. Only skeleton product records come down from Shopify, so plan the enrichment work inside Brightpearl.
Bundles. The connector includes bundle inventory management. Check what each bundle shows as available in Shopify before launch, not after the first oversell.
