Fishbowl Inventory Help for Shopify: Drive App, Plugin and Order Sync

Fishbowl Inventory makes inventory and warehouse software with ERP features, sold as Fishbowl Advanced and as Fishbowl Drive, its web version that needs no onsite server. Drive tracks stock by serial number, lot and expiration date, supports several costing methods and works with QuickBooks. Fishbowl and Shopify jobs that need more than an install

The connection is a few screens. What it does to stock counts, accounting and product data takes judgment.

Choosing a connection route. Fishbowl Advanced can use a direct Shopify plugin or Fishbowl Commerce. Drive has its App Store app, and Fishbowl's integration page lists Commerce for Drive too. The right one depends on your edition, store count and other sales channels.

Plugin credentials. The Advanced plugin needs a Shopify custom app with the right scopes, an API key and an Admin API access token, entered after the plugin is installed and the Fishbowl Server restarted.

Product ownership. Names, SKUs, details, images and counts sync both ways. Pick one system for product edits, or the two will overwrite each other.

Order fields for accounting. Imported orders carry salesperson, carrier, payment terms and tax rate. Map them so QuickBooks receives clean records, with help from bookkeeping specialists where needed.

Lot and expiry data. Fishbowl tracks lots, serials and expiration dates. Decide who needs that detail for a Shopify order and where they will look it up.

More than one store. Extra stores on the plugin go through Fishbowl Support. Commerce handles multiple channels per platform.

Simple Drive setups. One store, one location and no lot tracking: the Drive app and Fishbowl's own support usually cover it.

What to ask a Fishbowl Inventory integration specialist

Fishbowl sits between Shopify and your books, so a good specialist thinks about stock and accounting at the same time.

"Which edition is this for?" If they don't ask whether you run Advanced or Drive, they are guessing at the route. The setup steps differ completely.

"How will orders reach QuickBooks?" If Shopify already posts sales to your accounting software through another app, ask how they will stop the same order being booked twice.

"What schedule will stock run on?" Available quantities move on a schedule, not instantly. Ask what interval they would set and what happens to stock during a sale or product drop.

Fishbowl answers that should worry you. A promise of instant two-way stock, a plan to keep editing products in both systems, or no mention of lot and expiry handling for a food or supplement brand.

Paying for a pilot. A route recommendation in writing, then a week of real orders on a development store, checked against Fishbowl stock and the accounting entries. Larger back-office builds suit ERP and backend integration experts.

Fishbowl Inventory software and Shopify: how the sync behaves

Stock authority. Fishbowl is the source of truth. A Shopify sale reduces Fishbowl stock, and Fishbowl exports available quantities to Shopify and other stores on a schedule.

What the plugin moves. It imports sales orders and payments, and exports fulfillments, products and inventory updates. Fishbowl's Shopify page doesn't say whether tracking numbers travel with fulfillments, so test that before launch.

Commerce needs another account. The Fishbowl Commerce route connects through a Sellware account linked to Fishbowl, which matters for logins and billing.

Drive pricing and access. Drive starts at $2,145 a year per user. The app asks for customer and store owner data and edit access to products, orders, discounts, files, locations and payment terms. Review those permissions with whoever owns the store.

Other channels. The Drive listing names Amazon, Salesforce and Stripe among its integrations, so stock may be shared beyond Shopify. Plan Shopify locations with that in mind, and read the ERP integration guide before mixing systems.
