Xero Shopify Integration Experts

The Xero Shopify integration is built by Xero itself, and its current App Store listing went live in March 2026. It syncs Shopify sales and payments to Xero either as a daily summary or as individual orders, then matches Shopify payouts to your Xero bank feed so fees, refunds and taxes reconcile.

The choices inside a Xero Shopify setup

Every Xero setup comes down to a short list of choices, and each one is tedious to unpick once months of sales have posted.

Sync mode. A daily summary for each payment gateway keeps the ledger lean. Individual orders bring customer details and inventory into Xero, at the cost of a much busier file. The right choice follows how your accountant reports, not what looks thorough. Summaries are the safer default; per-order sync earns its place only when someone will actually use customer-level detail inside Xero.

Account, tax and gateway mapping. Each gateway is set up so its payouts, whether from Shopify Payments or elsewhere, land against the right bank account. Tax mapping is customisable, which matters for stores charging several rates.

Online and in-store. The integration carries online store and Shopify POS sales, so a store with a shop counter needs both channels mapped, not just the website.

History catch-up. Loading up to 90 days of past data and correcting opening balances, so the first reconciled month starts from a true position.

Bank feed reconciliation. Matching Shopify payouts against the Xero bank feed so fees, refunds and taxes auto-match instead of becoming a weekly manual job.

US sales tax routine. For US stores, a monthly process for downloading sales tax data from Shopify for reporting and filing, since the integration doesn't handle it.

How to pick someone for your Xero setup

The first questions a Xero candidate asks tell you a lot. Good ones want to know how your accountant reports before they choose between daily summaries and individual orders, and they ask about your region before your logins.

Ask which sync mode they'd pick, and why. A good answer refers to your order volume and what your accountant needs to see. Habit is not a reason.

List your gateways. Send every payment method the store accepts. The expert should explain how each one's payouts will match the bank feed.

US stores: raise sales tax. If they don't bring up the fact that the integration skips US sales tax, keep looking.

Match the region. Xero's app marketplace lists the integration for Australia, Canada, Hong Kong, Ireland, Malaysia, New Zealand, Singapore, South Africa, the UK, the US and a Global region. Someone used to your region's tax rules saves rework.

Red flags. Proposing to load twelve months of sales through the integration, or treating the first sync as finished without a reconciled month to show for it.

Trial one month. Pay for one month run in the sync mode they recommend, with every gateway mapped and reconciled against the bank feed. It tells you more than any sales call.

Xero Shopify limits: new listing, 90 days and US tax

Work from the current listing. Xero's integration has a new App Store listing at apps.shopify.com/xero-6, launched on 24 March 2026. Reviews, guides and screenshots from before then may describe an earlier version, so a good expert checks against the current one.

History stops at 90 days. The integration syncs up to 90 days of historical data. A store with six months of unreconciled sales needs the older period handled separately, and that belongs in the quote.

No US sales tax. Xero states that the integration imports a summary of sales and purchases but does not account for US sales tax. Sales tax data has to come straight from Shopify for reporting and filing. US merchants need that process from the first month.

New gateways need mapping too. Xero produces its summaries, or individual sales, for each payment gateway, which is what makes reconciliation work. Add a payment method in Shopify later and check its mapping in Xero too, or its payouts can sit unmatched.

The developer link points elsewhere. The listing's developer website belongs to the setup partner Xero names on its Shopify page, not to xero.com. Read xero.com for product facts.

Raise multi-store and currency early. If you run more than one Shopify store, or sell in several currencies, put that at the top of the brief. Ask the expert to show you how it will look in Xero on a test month before you commit.

Do I need a Xero developer to connect Shopify?

Usually not. The standard integration is configured, not coded: sync mode, account mapping, tax rates and gateways. That is accountant or bookkeeper work. A Xero developer earns their fee when you need data the integration doesn't carry, and that scope should be written down before anyone starts. Check first whether the gap is really a process, such as US sales tax, rather than missing code.

Does the Xero Shopify integration cost extra?

Xero describes it as a free integration for Xero subscribers, and it costs nothing to install from the Shopify App Store. You still need a paid Xero subscription, and any expert's fee sits on top. The listing sometimes shows introductory Xero offers that differ from xero.com, so budget from your actual subscription rather than a promotion.

Will the Shopify Xero sync pick up POS sales?

Yes. Xero lists online store and Shopify POS sales among what the integration covers. The work is in the mapping: decide whether in-store and online sales should post to separate accounts, and make sure cash and card takings in the shop reconcile against the right bank account. Agree this before the first in-store day syncs.

How do I check a Xero expert's partner status?

Look them up in Xero's advisor directory. Xero's partner programme for accountants and bookkeepers is free to join, and the directory is where its members appear. Before you hire, also ask which Shopify stores they have set up on the current listing. It only launched in March 2026, and setups built on an earlier version may not match it.

What should a Xero expert hand back after setup?

A written record of the sync mode and why it was chosen, the account each gateway, fee and tax rate maps to, the history start date, and for US stores the monthly sales tax routine.
