Shopify Sales Tax and VAT Compliance Specialists

How to choose a sales tax consultant

Separate tax work from store builds. Plenty of agencies set up tax settings while building a store. That's useful, but it isn't registration or filing. Ask how many registrations they've filed this year, which states and countries they file in today, and whether they've dealt with a state's follow-up letter.

Ask how they'll establish nexus. A good answer covers physical presence and each state's economic threshold, tested against your sales from every channel. Shopify Tax's threshold alerts count only sales made through Shopify, so anything sold elsewhere has to be added before the picture is complete.

Get filing responsibilities in writing. Who prepares each return, who submits it, which account pays, and who answers when a state writes to you. Some specialists file on your behalf; others hand you a schedule and you file. Both work if everyone knows which it is.

Ask about product categories and exemptions. Shopify Tax sets rates from your product categories and the buyer's address. A specialist should check those categories and set up exemptions for B2B buyers who give you resale certificates.

Match the specialist to where you sell. A US sales tax firm may not handle EU OSS or UK VAT, and a VAT agent may not know US states. If you sell into both, ask whether one team covers everything or you'll need two.

Be wary of three things. A plan to register in every state before anyone has looked at where you have nexus, since each registration brings returns to file. An assurance that Shopify files for you. And a quote that says nothing about reconciling what you collected against what you filed.

What Shopify Tax does, and what stays with you

Shopify Tax calculates US sales tax at checkout from product categories and buyer addresses, and shows states where you may be approaching an economic nexus threshold. It's free until $100,000 in US sales, then 0.35% per order (0.25% on Plus) in states where you collect. It doesn't register you, file returns or remit, and Shopify's own automated filing is closed to new enrolment. You file yourself, use a filing service or hire a specialist.

The work runs in this order:

- Find where you have nexus, through physical presence or each state's economic threshold.

- Register in those states before you start collecting there.

- Switch on collection in Shopify for each registration, then check product categories and exemptions such as B2B resale certificates.

- File and pay on each state's schedule.

- Reconcile what Shopify collected against what you filed, every period. A difference means something needs fixing before the next return, not after.

Do I have sales tax nexus if I only sell online?

You can. Economic nexus depends on your sales into a state, not where you're based, and each state sets its own threshold. Many use $100,000 in sales, and several have dropped their transaction-count tests. Physical presence in a state, such as stock held in a warehouse there, can create nexus too. Shopify Tax flags states where you may be approaching a threshold, which is a prompt to check, not a ruling. Rules change, so have a specialist confirm where you stand.

Do sales tax filing services replace a specialist?

They replace the repetitive part. A filing service takes your tax data and files returns on each state's schedule. It won't decide where you have nexus, whether a product is taxable, or how to answer a state that questions a return. Many stores use both: a specialist for the nexus review, registrations and anything that needs judgement, and a filing service for routine returns.

How does VAT work on Shopify orders to the EU and UK?

Shopify can charge EU VAT under an OSS or IOSS registration, with IOSS covering imported goods valued up to €150, and UK VAT on orders of £135 or less once you're registered. You still file and remit to each authority. Since 1 July 2026 the EU also charges a temporary €3 customs duty per item on parcels up to €150, so those orders aren't duty-free. Which registrations you need depends on where you're based and what you sell.

When is it worth paying for sales tax registration help?

With one home state and modest sales elsewhere, you can usually register with the state directly. Help earns its fee once Shopify Tax starts flagging other states, when you sell to B2B buyers with exemption certificates, or when several channels mean nobody has a combined view of sales by state. A good specialist will also tell you where you don't need to register yet.

Is sales tax the same as income tax on my store's profit?

No. Sales tax is collected from buyers and passed to the state; it was never your income, and it shouldn't appear in revenue. Income tax is charged on profit and filed once a year on a separate return, prepared by a tax professional rather than a sales tax specialist. Using different people for each is normal.

What records should I keep for sales tax?

Keep Shopify's tax figures for each filing period, a copy of every return filed, proof of payment and any resale or exemption certificates from B2B buyers. If you use Shopify Tax, its United States sales tax report breaks collected tax down by jurisdiction, a good starting point for matching collected tax to filed tax. How long you must keep records varies by state and country, so ask your specialist.
