Shopify Chargeback and Dispute Specialists

Choosing someone to handle chargeback disputes

Ask how they match evidence to the reason code. A fraud claim, an item-not-received claim and a not-as-described claim each need different proof. A specialist who sends the same pack for every dispute is wasting your response window.

Check they will work inside your Shopify admin. Evidence is submitted from the order in the admin before the deadline. Give them their own staff access with only the permissions the work needs, never your owner login.

Ask which disputes they would accept. Some aren't worth fighting: a low-value order where the time costs more than the refund, or a genuine fulfilment mistake. Chargeback experts who contest everything add cost without adding recoveries.

Understand the fee model before the first dispute. Chargeback management services usually take a share of recovered revenue, paid only on won disputes; freelance specialists may charge by the hour or by the case. Know which you are signing up for, and whether fees are capped per case.

Ask to see a sample response. A redacted response to a past dispute shows how they write: short, tied to the reason code, with each document labelled so a bank reviewer can follow it. Pages of screenshots with no explanation are a bad sign.

Ask what they will change upstream. Good dispute handling should reduce how many disputes arrive. Expect recommendations on your billing descriptor, order-status replies, where your refund policy appears and how staff use Shopify's fraud analysis.

Walk away from these:

- A promised win rate. The cardholder's bank decides the outcome, not the specialist.

- No clear answer on which of your orders Shopify Protect already covers.

How a Shopify chargeback plays out, and where prevention starts

The dispute arrives. The chargeback shows on the order in your admin with a response deadline. On Shopify Payments it costs $15 in the US, and the fee varies by country. Whether the fee comes back if you win also depends on your country.

You build the evidence. Match it to the reason given: fulfilment and tracking details, delivery confirmation, customer emails and chat, proof the customer accepted your refund policy, the product description as it read at the time, and any earlier orders from the same customer. Submit it from the order before the deadline.

You decide whether to fight. Accept when the customer has a point or the order value doesn't justify the time. Fight when your evidence answers the stated reason directly.

Prevention sits upstream. A billing descriptor customers recognise heads off "I don't know this charge" disputes. Quick replies to "where is my order" catch item-not-received complaints before they reach the bank, and a visible refund policy gives you something to point to.

Use the risk ratings. Shopify's fraud analysis rates eligible orders low, medium or high risk and shows the indicators behind the rating. Cancelling a high-risk order before fulfilment costs you a sale; shipping it and losing the dispute costs the goods, the order value and the fee.

Know your cover. When Shopify Protect covers an order, Shopify reimburses the amount and the fee and handles the dispute itself, so no evidence is needed from you. Every other dispute follows the steps above.

Track the rate. Card networks and Shopify both watch your chargeback rate, so measure it monthly alongside the reasons behind it.

The first figure is Shopify's; the other two are typical market ranges. Recovery services usually charge only on won disputes, and some cap the fee per case, so a lost dispute costs you the order value and the chargeback fee but no service fee. Alerts give you a chance to refund before a dispute becomes a chargeback, and each alert is charged.

For a specialist who charges for the work rather than a share of recoveries, the quote moves with dispute volume, average order value, how many reason codes you see, and whether prevention work such as descriptor and policy fixes is included. A quote needs a month of recent disputes and their reason codes.

Representment is your formal response to a chargeback: you present evidence that the transaction was valid, and the cardholder's bank decides. On Shopify Payments you submit it from the order in your admin before the deadline. It rewards precision. The response should answer the reason code directly, in plain language, with documents a bank reviewer can check quickly.

What's the difference between friendly fraud and true fraud?

True fraud is a purchase made with a stolen card; the cardholder never ordered. Friendly fraud is a dispute from someone who did order: they don't recognise the charge, forgot a subscription, a family member bought it, or they want their money back without returning the item. The two need different handling. True fraud is best stopped before fulfilment using Shopify's fraud analysis; friendly fraud is fought with proof of delivery, communication and policy acceptance.

Does Shopify Protect cover every chargeback?

No. Shopify Protect covers fraudulent and unrecognised chargebacks, free, for US merchants on Shopify Payments, and only on eligible Shop Pay orders that have been fulfilled. Disputes for other reasons, orders paid another way and stores outside the US still need a response from you or someone you hire. Check which of your recent disputes would have been covered before deciding how much outside help you need.

Should I use a chargeback management company or handle disputes in-house?

It depends on volume and time. A chargeback management company suits stores with a steady stream of disputes and nobody with hours each week to build responses. Low volume is usually cheaper in-house, once someone has set up evidence templates by reason code and a routine for checking the admin before deadlines. A one-off project with a specialist to build that routine sits between the two.

Is it worth disputing a small chargeback?

Sometimes not. The fee is charged either way, and whether it comes back on a win depends on your country, so a low-value order can cost more in time than it recovers. The exception is a pattern: if the same customer or the same reason keeps coming back, respond and fix the cause. Set a threshold in advance so the call isn't made case by case under deadline pressure.
